Privacy Policy
Last updated: July 21, 2026
This Privacy Policy explains how Ajolla Inc. (doing business as Quborly), the operator of Quborly (“we,” “us”), collects, uses, shares, and protects your personal information when you use the Service, and the rights you have. We are committed to handling your data with particular care. For privacy questions or to exercise your rights, contact privacy@quborly.com.
1. Information We Collect
Information you provide
- Account data: name or display name, handle, email, password, and optional profile details such as avatar and bio.
- Content: events, communities, messages, cover art, and other materials you create or upload.
- Transactions: reservations, tickets, memberships, and promotion purchases. Payment-card details are collected and processed directly by our payment processor (Stripe); we do not store full card numbers.
- Communications: messages you send to other users and to our support team.
- Virtual showcases: applications, state-of-residence and adult-eligibility attestations, versioned terms acceptances, submissions, team-presenter roles, audience ballots, judge scores and private judge notes, published screen-time and readiness deadlines, readiness confirmations, live call/on-stage/completion status, recorded slot-forfeiture reasons, live-room role and moderation state, and published aggregate rankings. We do not record or offer replays of no-prize challenge showcases.
- Virtual networking and mixers: admission status, live-room role, whether you are backstage, queued, on stage, removed, or blocked, and moderation actions. Camera and microphone media is transmitted live through our streaming provider; Quborly does not provide a recording or replay of these rooms.
- Identity verification: to host paid activity as a business page, a page owner must verify their identity through Stripe Identity, which collects and processes a government-issued ID and a selfie. This is handled directly by Stripe; Quborly receives only the verification status (verified, pending, or failed) — never the ID document or selfie image.
Information collected automatically
- Usage & device data: pages viewed, actions taken, IP address, browser and device type, and approximate location derived from IP.
- Cookies & similar technologies: see our Cookie Policy.
Information from third parties
We may receive limited information from our payment processor (for example, payout and verification status) and from infrastructure and error-monitoring providers that help us run and debug the Service.
2. How We Use Information
- To provide, maintain, and improve the Service.
- To process reservations, payments, payouts, refunds, and pre-sale charges.
- To enable discovery, messaging, link previews, and social sharing.
- To communicate with you about your account, transactions, and relevant updates.
- To detect, prevent, and address fraud, abuse, and security incidents.
- To comply with legal obligations and enforce our Terms.
3. Legal Bases (EEA/UK)
Where the GDPR or UK GDPR applies, we process personal data on the basis of: performance of a contract (to provide the Service); our legitimate interests (to secure and improve the Service); your consent (for example, for certain cookies or marketing); and compliance with legal obligations.
4. How We Share Information
- With other users: your public profile, the events and communities you host, and content you post are visible to others consistent with your privacy settings.
- With Hosts: when you reserve or attend an event, the Host receives the information needed to manage attendance.
- Showcase results: after selection closes, entry names, ranks, and aggregate scores may be public. Individual judge scores, private notes, residence attestations, and ballot choices are not made public.
- With service providers: payment processing (Stripe), streaming, hosting, error monitoring, and email delivery, under contracts that limit their use of your data.
- For legal reasons: to comply with law, enforce our Terms, or protect rights, safety, and security.
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.
We do not sell your personal information for money.
5. Sensitive Information
Participation in events and communities may reveal information some consider sensitive. We use this only to operate the Service you request and protect it accordingly. Your privacy settings let you control the visibility of your activity. Please share only what you are comfortable making visible to your chosen audience.
6. Data Retention
We keep personal information only for as long as it is needed for the purposes described in this Policy. How long that is depends on the type of data and why we hold it:
- Account & profile data: retained while your account is active and for a limited period after you close it, so the account can be recovered and any outstanding obligations resolved.
- Transaction, payment & tax records: retained as required by financial and tax law — typically several years (for example, up to 7 years) after the transaction.
- Content you posted publicly (events, communities, messages to others): removed or de-identified when you delete it or close your account, except where we must retain it for the reasons below.
- Safety, moderation & fraud records: retained as long as needed to keep the community safe, enforce our Terms, and meet legal obligations.
- Showcase evidence: published participation terms and acceptance records, run-of-show history, readiness and stage status, and recorded forfeiture decisions are retained as compliance records for as long as reasonably needed to document eligibility, consent, results, disputes, and legal obligations.
- Backups & logs: cycled out on a rolling schedule; residual copies in backups are overwritten in the ordinary course.
When information is no longer needed for any of these purposes, we delete or anonymize it. Specific retention periods are set by these criteria and applicable law.
7. Your Rights & Choices
Depending on where you live, you may have the right to access, correct, delete, or port your data; to object to or restrict certain processing; and to withdraw consent. From your profile settings you can download a copy of your data and request account deletion. Account deletion removes or de-identifies public profile information and user-generated content, except where records must be retained for payments, taxes, fraud prevention, safety, chargebacks, disputes, or other legal obligations. You can also contact us at privacy@quborly.com. We will not discriminate against you for exercising these rights.
8. Security
We use technical and organizational safeguards designed to protect your information, including encryption in transit and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. International Transfers
We may process and store information in countries other than your own. We rely on appropriate safeguards (such as standard contractual clauses) where required for cross-border transfers.
10. Children
The Service is not directed to children under 18, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us so we can remove it.
11. Changes to This Policy
We may update this Policy. We will post the updated version with a new effective date and, for material changes, provide additional notice.
